For Applicants
How does CoLivi choose its tenants?
Usually all of our tenants are internationals and wether students on Ersamus or working as young professionals. The ages are between 18 and 35 y.0. We choose them very wisely and check if they all match regarding the requirements.
Since we run several places in Vienna and we have more than 300 tenants, we usually have several options for you to find the perfect location.
How do I know if a room is available on your website?
If you are interested in a room, please simply fill out the contact form at the listing and we will contact you.
If it happens that the room that you chose is not available, there are usually several other very nice options that you will be offered.
Can I visit the room before I make a booking?
Visiting the rooms before the moving-in date is not possible.
CoLivi’s business model addresses to people that are coming to Austria and that want to find a room very easily without having to look at several physically.
Also the goal is to keep it simple for the tenants to not be bothered with visits since it is their private sphere and they pay for it.
Since CoLivi is running more than 300 rooms and has an average of 3-5 requests for each room every week. We guess you can imagine what that would mean to the tenants if I would ask them for each requester to let them in and furthermore for me to manage that. Simply impossible.
Therefore we have videos and the pictures of all rooms and flats online. You can be sure, that they are real and exactly from the room and flat that you chose. 🙂
Furthermore please check the number of successful bookings and our reviews. You can be 100% sure that everything will be fine 😉

How does the booking process work?
In order to make a reservation valid, send us a scan of your passport, your mobile number, the room and exact rental period to bernhard@colivi.at
We will then prepare your official Austrian rental contract and will send it to you.
After you received it, please return it signed within one week. Along with the signed contract, also send us a proof that you have already transferred the first month’s rent.
Explanation: We take this of course as the first month rent and no booking fee or whatever. It is a security for us that you will „attend“ and mean it seriously. It happened several times in the past, that potential tenants signed the contract and not showed up. If that happens again, we at least have a compensation for the first month and can then start to advertise the room again.
You will find all the banking info (also for the deposit that has to be paid 2 weeks prior the start of the rental agreement) in your contract then. We use the European IBAN system but you can also use transaction applications like wise for example.
After we received the signed contract and the proof of payment from you, we will block the room for you and then you have a wonderful new home in Austria 🙂
Do I get an official rental contract?
You will get an official Austrian rental contract (written in English) that we will send to you after you chose your room and sent us your ID.
The contract period is minimum 3 months and maximum 3 years. This contract can also be the official document if you need to go through a visa application process in your home country.
You will find all the infos and house rules in there as well as a section for cleaning rules in the apartment.
What is included in the rent?
We only have all-in prices. Meaning you don’t have to pay any additional running costs besides the rental price that is mentioned at the listings.
Everything is included in the rent: Business-WiFi, heating, water, electricity etc. etc.
What is the service-fee and what is it used for?
For the contractual work, the moving-in and -out and the handling of the deposit we take a one time service-fee of 250€.
You will find the payment link for it online once you have a signed lease and have access to our tenant management tool “RoomMate / Rent Your Nest”. You will get a separated invoice for that of course.
Can I register my residence in Austria?
Of course you can register your main residency in any of our rooms. For this, you need to download the “Meldezettel” form and fill in your details. If you need help with translating it, here you find a translated version of the Meldezettel.

What is the minimum rental period?
All of our CoLivis can be booked from 3 months on (minimum booking duration) and up to 3 years. The contracts can be quitted within a 3 months notice to the 1st and the 15th of each calendar month. Meaning 3 months is minimum stay and from then on we only do half months (not daily).
What are the move-in and move-out dates?
The move-in dates for our rooms are always the 1st and the 16th of each calendar month.
The move-out dates are always the 15th and the last day of each calendar month.
Info: Since December is a month full of holidays in Austria, we can not accept rental ends on December 16th or December 31st. Meaning the closest rental end date before is November 30th or then again on January 15th (Of course you can move out and leave whenever you want, it is just about the contract itself).
How much is the deposit?
The deposit for one of our CoLivis is 1.500€ and has to be paid before moving in. When you move in, you will check everything with an inspection list (checklist for all the equipment) and you will contact us if there is something missing that has to be replaced. After you move out, we will check the room and you will get the full deposit returned within 30 days if everything is ok with the room.
Are guests allowed?
We provide living space for communities and we want to make it as simple and as social as possible. By contract we allow everyone to have guests staying over for a maximum duration of one week in once. If your roomies are cool with it, then of course we don’t care if they stay longer 🙂 But definitely we don’t allow a permanent visitor moving into our apartments.
Can I get in touch with my future roomies before moving in?
Getting in touch before a booking was made:
We often get the question if we can connect applicants with the people that already live inside the flat.
The answer is no, because: We want to keep it simple for the tenants to not be bothered with potential applicants since it is their private sphere and they do not want to be spammed or their contact being forwarded.
We are running 300 rooms and have an average of 3-5 requests for each room every week. We guess you can imagine what that would mean to the tenants if I would ask them for each requester to get in touch with them.
Getting in touch after a booking was made:
After the rental agreement was signed and the day of moving in gets closer, we put all new tenants in the WhatsApp group chat of the flat so that they can introduce themselves to their future roomies and also to let them know when the exact date of arrival is. We keep it like that because the purpose of the group is to communicate amongst the people really living inside the flat.
How are the rooms equipped?
All of our rooms (CoLivis) are fully furnished. You will find:
- A bed (with 2 blankets, 2 pillows, sheets etc.)
- A bedside table with bedside lamp
- A workspace (with light, chair, bucket, pen-holder, power strip)
- A closet (with mirror, compartments and hangers)
- A dresser (not in every CoLivi)
- Power strips

How are the shared rooms equipped?
Our flats are fully furnished and equipped so that you don’t need to buy anything.
From Wifi, to hair dryer and washing machine. Our flats (the rooms and the shared areas) are fully equipped.

What is "RoomMate/Rent Your Nest"?
“RoomMate/Rent Your Nest” is a tenant management app that we use for communication, documentation and payments with our tenants.
It allows you to:
- Send maintenance requests with pictures directly to our tech team.
- See your rental agreement and rental conditions.
- Do all your ongoing monthly payments.
- Send our team a message.
- Check many very helpful documents that explain you how absolutely everything works and more.
- Be informed about appointments and other things regarding your stay with CoLivi.

How does the moving-in process work?
Our moving in process is 100% smart!
In all of our flats, we have smart access systems. You will get all the information how you can enter the flat before you move in.
- You will be able to use a pin code
- and you will have physical keys as well
Furthermore we will add you to the Whatsapp Group Chat of the flat a couple of days before your actual rental start. You can introduce yourself and let your roomies know when you will arrive.
We will also add you to the flat whatsapp group some days before you move in and your roomies will welcome you in the flat.
How can I get my Meldezettel (registration) signed?
Registration in Vienna:
Vienna’s city officials require an originally signed “Meldezettel”. Once you arrive in the your CoLivi flat, please check the documents section in the RoomMate / RentYourNest app and you will get all the infos how you can pick up your signed Meldezettel.

Registration in Graz:
The simplest way is that you send your filled out Meldezettel (the original pdf, not a scan or picture. You can find it here) to tenants@colivi.at and then you will help you with that.

Additional info: Graz has registration offices in almost every district. There are one or two individuals in an office that wouldn’t accept the printed version of the Meldezettel. In that case please just go to another office in another district and you will be fine 🙂
How can I pay the rent?
You can find all the infos for paying the monthly rent or the deposit in your contract.
For the first months rent please use the following account to book your CoLivi:

- Reference: Rent “Your Flat” “Your Room Number” „NAME” „MONTH“
For all ongoing rental payments and the deposit payment, you will have an account at “RoomMate / Rent Your Nest”. This is our tool for rental payments, maintenance requests etc.
You can transfer your monthly rent there with one click via IBAN or via Credit Card. Once your booking is confirmed and we signed the rental agreement, you will get an invite for your account there.
Note: IBAN transfers via RoomMate / Rent Your Nest are without any extra fees. If you chose to pay your rent with Credit Card, the fees of the payment provider will be added to the rental amount.
When do I have to pay the rent?
The first rent has to be paid with returning the signed contract (the due to return the contract signed is one week after you received it from us).
For all ongoing payments you will use our management tool “RoomMate / Rent Your Nest”. You will get your login and profile there once the contract is signed and we have the proof of the first months payment.
All ongoing payments are monthly and have to be paid the latest on the last day of the previous month or, if your contract starts on a 16th, then on the 15th of the month. You will find all the payment links and due dates in your “Room Mate / Rent Your Nest” profile.
When do I have to pay the deposit?
The deposit has to be transacted at least 2 weeks prior your contract for your room starts. From security reasons we can not let anybody move in without having the deposit as safety.
Can I extend my stay with CoLivi?
Our 3 months notice period works both ways for extending and shortening of a stay. Meaning we do not offer any room to any prospect further in advance than 3 months (because the tenant in the room could possibly extend their stay).
If you requested for a certain period and have already sent us your moving-out notice, then an extension is no problem when:
- Your room was not booked already for the period where you planned to be already out of the room
- Your rental payments were done punctually
If you ask us too late and your room was already booked, we will give our best to provide you a comparable room of course 🙂
How can I give notice?
If you want to shorten your stay with CoLivi / give early notice:
Please go in the “RoomMate / Rent Your Nest” web app in the document section and send us the filled out file “06_Notice Template.pdf” or use the last page of your rental contract for that and send it to tenants@colivi.at (Please also note that end dates can only be the 15th or the last of a month as we only do fortnightly renting).
If you want to extend your stay with CoLivi:
If you have already sent us a notice and would like to extend your stay, then it is no problem. Please send us a new notice as well in that case. (Please note that also here the 3 months notice period apply. Meaning if you want to extend your stay closer than the 3 months to your current rental end, your room might have already been rented out.)
What if I need to move out earlier than planned?
If you want to move out before the 3 months notice period.
We understand, that there can be some circumstances where people need to leave earlier than in the 3 months notice period.
In that case, we always offer the tenant to try to find someone that takes the room so that he/she doesn’t need to pay the rest of the stay where he/she doesn’t use the room anymore. We will give our best that it works out that way, but we can also not guarantee that. If we can not find someone, we stick to the contract. Furthermore since we also need to pay fees for external booking platforms and have additional effort, we deduct 150€ from the tenant’s deposit.
If you want to move out before the 3 months mininum rental period:
The same applies when you want to move out already after 1 month e.g. The chances that we would find a person in that short period of time would be probably lower though.
What cleaning rules do apply for my stay?
As you have it written in your contract, we do have very clear cleaning rules.

Why is there only cold water in the flat?
If you have heating problems or only cold water in the flat, usually that is a problem related to a low pressure (below 1 Bar) in the Combi Boiler that can be fixed very easily. This video shows you how you can easily repressure the boiler by yourself.

How can I de-register my residence in Vienna?
If you want to de-register your residence in Vienna, you can do that by yourself without needing a signature from your landlord. Please follow these instructions.
How do I get my deposit back?
There are some steps that need to be done in order to get the deposit refunded. Here is our Moving Out Info where you can see everything.
After your actual moving out date, you will get back your deposit within 4 weeks maximum.
For Owners
Is my flat suitable for CoLivi?
CoLivi is looking for rental apartments in Vienna with at least 2 separately accessible bedrooms. The objects should be in central locations and the rental period should be indefinite, but at least 5 years. If you have a corresponding object, CoLivi guarantees you by a termination waiver (at least 5 to 10 years) the total elimination of vacancies. Through long-term controlled subletting (you will be informed about sub-tenants, no AirBnB or similar), there is absolute transparency at all times and your administrative work is completely eliminated.

How long does CoLivi rent my flat?
We are looking for flats that we can rent at least for 5 years. The longer the better. We guarantee you by a termination waiver (at least 5 to 10 years) the total elimination of vacancies.
